KILIMO-ONLINE: A tested and tried computer software system that automates the business operations of a coffee or dairy co-operative society

briefly

Kilimo-Online is a product developed by Kisasa Technologies, a registered business in Kenya, that focuses on providing a reliable and usable IT solution to the farmers and the management in agricultural cooperative societies in the rural areas. The software uses web and SMS technology to provide a means of relaying information and enhancing quality service delivery to the farmers. Kilimo-Online platform ensures the farmer is always updated and transparency is a key pillar and core value!

Why Kilimo-Online?

  • Most of the agricultural cooperative societies have manual systems involving pen and paper to carry out their day to day activities. This degrades the quality of service to the farmers and the quality of the data that they possess (Inaccuracies & manipulation of data).
  • Lack of back up procedures to aid in recovery operations in case of a disaster.
  • The decision making process in many co-operative societies is usually not well informed by an in-depth analysis of trends of production, financial reporting over a long period of time etc
  • Farmers lack an easy way to interface with their cooperative societies to get more and better services despite the ubiquity of affordable technology such as mobile phones. Some of the services they may get include making requests via SMS instead of walking all the way to queue up to place requests like farm inputs booking.
  • Inventory management of the farm inputs and credit limit based lending is a manual and erroneous process in many co-operative societies
  • Offers audit trail and logging of all the activities and SMS through the system for accountability and transparency

How Kilimo-Online works

Kilimo-Online has two major subsystems, namely: Administrative subsystem and SMS processing subsystem.

The administrative subsystem

web based and has the following functionality:

  • Statistical analysis of the various farmers and factories/collection centers e.g. trends, financial profiles, ranking, production records etc
  • Data visualization of production, bookings, issued inputs and credit-based transactions through charts.
  • Generates printable Reports and summaries that can be exported as PDF documents for printing and filing purposes.
  • A fully customizable and versatile backend to suit various needs of different agricultural cooperative societies e.g. Credit parameters, logo, data entry parameters, disclaimers, pertinent factories/collection centers, farmers’ register, financial information etc
  • An interface to record farm produce [interfacing with digital weighing scales], issue farm inputs booked or without booking, process payments and issue pay slips, record farm inputs booking and issue corresponding receipts and invoices.
  • Adding and viewing of income and expenses of a cooperative society and related financial reports like trial balances.
  • Recording and tracking of parchment details.

SMS processing subsystem

script that has the following capability:

  • Processing enquiries of production totals, debts owed and advance payment details
  • Facilitating booking of farm inputs and receiving news & alerts from the cooperative society
  • Facilitating payment for various goods & services e.g. foodstuffs, medication from local chemists & agro-vets, school fees etc (Requires agreement with respective institutions [agents] to offer the services in partnership with a given cooperative society)
  • Allowing changing some personal account details e.g. PIN, block account, preferred language of communication etc by the farmer
  • Facilitating withdrawal of cash (advance payment) at designated cash points (proposed and requires partnership with financial institutions through which farmers get payments e.g. SACCOs).
